Student Employment Information for Hourly Pay

All students who work at the Heinz School must complete a Student Information Form for each position that they have. The following procedures MUST be followed in order to be paid in a timely manner:

  1. Complete the Student Information Form. For each hourly job you have at the Heinz School you must complete a Student Information Form. You can get the Student Information form from the Office of Fiscal Management, HbH 1107.
  2. Have your supervisor complete the supervisor section on the Student Information Form. Once you secure a position, you must ensure that your supervisor completes and signs this section.
  3. Take the completed form to the Financial Aid Office, HbH 1118. The Financial Aid office will verify your work-study award information, complete their applicable section and then forward the form to the Office of Fiscal Management for processing.
  4. Complete the required employment forms at Payroll Services, 4516 Henry Street. For initial employment at Carnegie Mellon you will need to complete the I-9 Form (employment eligibility) and the W4 Form (tax withholding). You must bring a copy of your completed I-9 form to HbH 1107 so that your pay can be entered in the pay system. Other forms available at Payroll Services include the Direct Deposit Form, WTEX form and the Foreign National Form.
  5. Complete and turn in timecard by the due date. You must complete and submit a timecard by the posted due dates to receive your pay on time. Timecards must be completed accurately and signed by you and your supervisor before submitting. Completed timecards are to be submitted in the timecard box just outside of HbH 1107 by the due date. Late timecards will not be processed until the following pay period. Please read the electronic bboard “org.heinz” and watch for the signs posted on the bulletin boards located throughout the Heinz School for timecard due dates.
